A window-cleaning company wants to remind last spring’s customers that autumn appointments are open. The useful task is small: identify customers who are due, remove those already booked, and prepare a clear postcard with a way to book. An agent can do the preparation while the owner controls timing and spend.
The same pattern fits seasonal landscaping or routine equipment service, provided the message is based on an actual service history. Treat these as marketing reminders, not urgent notices or promises that work is required.
Define eligibility before writing copy
Start with an approved export from your scheduling system. Include customer ID, mailing address, last relevant service date, next booking status, and mail preference. The agent should exclude existing bookings, opt-outs, and customers outside your service area. Ask it to flag missing dates instead of guessing that a customer is overdue.
Keep one record per intended recipient per reminder period. A customer with three past jobs should not automatically receive three postcards. Use a stable workflow key such as customer ID plus service type plus season in your own system; do not print that internal key.

Replace the booking address and phone number with real, approved business details. If you promise an offer, confirm the price, expiry, and eligibility first. A QR code is optional artwork you create outside PostalMuse and verify in the proof; a readable short URL works without it.
Let the agent prepare; let the business set the schedule
- Run your eligibility check outside PostalMuse, manually or with an external scheduler.
- Check live capabilities. Choose a supported 4×6 postcard and set its purpose to marketing.
- Create individual drafts using approved copy and actual addresses.
- Review both proof sides and each quote. Resolve address issues before proceeding.
- Send only with explicit approval or a valid grant that covers the recipients, format, and spend.
- Store mailing IDs, submitted times, and later booking outcomes in your own tracking sheet or CRM.
PostalMuse currently provides individual drafts and mailing operations, not native scheduling, list management, or a CRM integration. An external agent can coordinate these steps, but it still needs access to your chosen source system and a durable record of what it has done. Recheck bookings immediately before approval so the list does not go stale.
Use a pilot to decide whether to repeat
For an illustrative pilot, split an eligible group at random into mailed and holdout customers. Choose a booking window before sending. Compare booking rates, contribution margin after fulfillment costs, and mail spend. Attribute bookings through a dedicated business landing page or a booking-source field, but count untracked bookings consistently in both groups.
Break-even incremental bookings equal total campaign cost divided by contribution margin per incremental booking, rounded up. For example, a hypothetical $60 campaign with $40 contribution per booking needs two additional bookings to cover its cost. Those are illustrative inputs, not PostalMuse prices or a promised result.
Postal arrival dates are estimates. Avoid time-sensitive offers that assume a guaranteed delivery day. If the provider result is uncertain, investigate the existing mailing instead of issuing another.
